Complex DMS Access Matrix

The data accessibility matrix required in the DMS (Document management system) Solution is governed by several parameters. Owing to the large number of access riders the matrix is extremely complex to implement. Some of the factors that affected the data/files access were:

Our project and database planning team worked on the intricate access detailed and designed a foolproof access system that considers all the factors before deciding what a user can or cannot access. The access is highly restrictive as the data is highly confidential. Audit trail facilities have been provided to ensure that user activities can be monitored.

  1. User designation based access - The post or designation of the users decides the level of access to be granted. If the user works on a specific information files, he or she cannot access other files.
  2. Project Based user access –  Users are provided access to only the projects they are working on, they may not access information on the project not assigned to them.
  3. File extensions based access – User access based on what users have access to files with specific extensions. For example a particular user group may not have access to files with extension gif, jpeg, cad etc.
  4. Workflow based access rights – Users may have different access rights at different stages of the workflow. A user may have editing rights at stage 1 but may have only viewing rights at stage 2
  5. Time window based access rights – Information access can also be restricted to pre-defined time windows. A user may be able to access the information during certain time periods
  6. Access Levels – The type of access to the data is also subject to constraints. Data viewing and manipulation rights are treated separate.
  7. Concurrent user access – File locking and unlocking features for restricted access when another user is manipulating data.
